By booking a photography session with Candice Epthorp Photography, you agree to the following terms.
For shoots valued at $550 or less, full payment is required at the time of booking to secure your date and time.
For shoots over $550, a 50% non-refundable deposit is required to secure your booking, with the remaining balance payable as agreed.
Your booking is not confirmed until the required payment or deposit has been received.
Please provide at least 48 hours’ notice if you need to reschedule.
Bookings changed with more than 48 hours’ notice can be transferred to another available date.
Changes or cancellations within 48 hours may result in the booking payment being forfeited. Deposits are non-refundable.
No-shows are non-refundable.
If I need to cancel your shoot and an alternative date cannot be agreed upon, any payment made will be refunded.
For outdoor shoots, weather conditions will be assessed as close to the session as practical.
If conditions are unsuitable for photography, we can reschedule your shoot at no additional charge.
Cloud, light wind or changing conditions will not necessarily result in cancellation.
Please arrive ready to begin at your booked time. Late arrival may reduce your photography time, as other bookings may follow.
If additional photography time is required, it is subject to availability and will be charged at the applicable additional-time rate.
Your images will be professionally selected and edited in the established Candice Epthorp Photography style, including adjustments to colour, exposure, cropping and overall finish.
My photography style is natural and authentic. Retouching does not generally include significant body reshaping, extensive skin alteration, background reconstruction or major manipulation unless specifically agreed.
RAW or unedited files are not supplied.
Final edited images are generally delivered via an online gallery within 14 business days, unless otherwise agreed.
Urgent delivery: If images are required on the same day as the shoot or within 24 hours, an additional rush editing/delivery fee may apply. Please discuss urgent turnaround requirements prior to your shoot.
Copyright remains with Candice Epthorp Photography at all times.
Purchasing photography services or receiving images gives you permission to use the images under the relevant personal or commercial licence; it does not transfer copyright ownership.
Images cannot be resold, sublicensed or supplied to another business or organisation for their own marketing without prior permission.
Personal clients may use their images for personal purposes including social media, personal prints and albums, gifts, and personal websites or profiles.
Images cannot be used commercially or sold to a third party.
Standard commercial photography rates include image use by the business that booked the shoot for social media, business websites and blogs, EDMs and newsletters, digital advertising, brochures, business cards, flyers and local print advertising.
Additional licensing may be required for billboards, bus shelters, large-scale outdoor advertising, national campaigns, high-traffic commercial websites or major print publications.
If another business, brand, supplier, publication or third party wants to use the images for its own marketing, please contact me first. Additional licensing fees may apply.
Small local publications and digital media may be approved without an additional fee, but permission is still required before images are supplied.
The client is responsible for obtaining any required permission to photograph at their chosen location.
For commercial shoots, the client is responsible for ensuring appropriate permission or model releases have been obtained from people appearing in the images where required.
Unless otherwise agreed in writing, Candice Epthorp Photography may use selected images for portfolio, website, social media, marketing, awards and promotional purposes.
If your shoot requires confidentiality or exclusive image usage, please discuss this before booking.
Every reasonable effort will be made to photograph and deliver your session as agreed. In the unlikely event of circumstances beyond my reasonable control that prevent delivery of the photography service or images, liability will be limited to the amount paid for the affected photography service.
By confirming and paying for your booking, you acknowledge that you have read and accepted these Terms of Engagement.
Ever wonder what an image license through me actually covers? Let’s clear that up!
When you book a shoot with me, your images come with a license to use them for:
✨ Your socials (Instagram, Facebook, LinkedIn — post away!)
✨ Your website and EDMs (email promos, newsletters, etc.)
✨ Ads — online and in print
✨ Your own business materials like brochures, business cards, flyers, etc.
But there are a few places where we’ll need to talk about licensing upgrades:
🚫 Billboards, bus stop ads, or any big outdoor advertising — these need a separate license.
🚫 High-traffic commercial websites (think eCommerce giants, corporate sites with large audience reach) — these require additional licensing fees to cover the extended usage.
🚫 If a third party (someone who isn’t you!) wants to use the images, they’ll need my OK and may need to pay a licensing fee.
🚫 PR in large printed publications — I need to authorise these, especially with national media, as they’re in a position to pay licensing fees to photographers.
✅ Small local publications or digital media — no stress! I know they often don’t have budgets for images, but I do ask for a quick authorisation first.
Bottom line: If you’re planning to use the images in a bigger way, licensing is always up for a chat — with an extra fee depending on usage. Transparency = no surprises!
